5 Easy Steps to Writing Great Prospecting Emails

While other marketing methods such as cold phoning might still be beneficial, many firms still rely on email to generate leads.

However, just because something is popular does not imply that it is simple.

Even a seasoned salesperson may find it difficult to write an email that leads to a sale.

So, when you sit down and start composing your email, keep the following in mind:

1. Research your prospect.


Before you can craft an email that will truly resonate with your prospect, you need to get inside his head.

So spend some time researching him before you actually start writing the email itself.

Find out what makes this person tick and how he spends his free time or manages certain situations in everyday life.  

But where do you even begin?

If your prospects are already on your email list, a good place to start would be to look at the materials they've used on your website, such as an ebook they might have downloaded. This can give them vital insight into what they're looking for.

Examine your prospect's social media accounts as well.

Because their posts are public, Twitter and LinkedIn are the most effective. You might also use Facebook and Instagram as alternatives.

Furthermore, looking at your prospect's company's or personal blog's "about page" may disclose vital information about their interests.

2. Use a catchy topic line.

It makes no difference how thorough your prospecting is since...

...you won't get far if you don't get the subject line of your email right.

69 percent of recipients will designate an email as spam based just on the subject line.

So here are a few pointers to assist you come up with a catchy topic line:

Make your subject line as brief as possible (ideally, less than 30 characters). This not only clarifies the subject of the email, but it also assures that it is displayed on mobile devices.

5. Make sure you send your email at the appropriate time.

When it comes to whether or not people open your emails, timing is crucial.

However, because there is no one-size-fits-all answer, determining when to send your email can be difficult.

As a sales professional, you'll know that the optimal moment to send an email is determined by the recipient. Experimentation is the greatest method to figure this out.

Certain days and periods, however, have been demonstrated to be more successful than others in tests. Tuesday, for example, has some of the greatest response rates, followed by Thursday and Wednesday, respectively.
